Partner AI App– Privacy Policy

This Privacy Policy explains how Partner AI (“Company,” “we,” “our,” or “us”) collects, uses, and protects your personal information when you use the Partner AI mobile application (the “App”).
We are committed to protecting your privacy and complying with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
1. Data We Collect
When you use the App, we may collect the following types of personal data:
Account Information – such as your name, email address, and password when you register for an account.
Usage Data – information about how you use the App, including device type, operating system, IP address, log files, and in-app activity.
User Activity Metadata – including timestamps indicating when a user was last active or online within the App. This information may be associated with account identifiers (such as usernames) and is used solely for service operation, security, moderation, and administrative monitoring.
AI Interaction Data (via OpenAI) – When you use AI-powered features of the App, the content you submit, including text, files, or other inputs, as well as AI-generated outputs (“AI Interaction Data”), is processed by a third-party AI service provider, OpenAI.
AI Interaction Data is processed to provide the requested functionality and may be accessible to us and to OpenAI for operational purposes, including service monitoring, debugging, security, abuse prevention, and legal compliance.
We do not use AI Interaction Data for advertising or to train our own models.
If you upload or process datasets using the App, we process this information solely for the purpose of providing the Services. You remain the owner of your data.
Users should ensure they have the right to submit any data they upload and should avoid submitting confidential or personal data unless necessary.
Analytics Data (via Firebase Analytics) –
We use Firebase Analytics, a service provided by Google, to collect aggregated and pseudonymous information about how users interact with the App.
Firebase Analytics automatically collects certain usage and device information, including:
– App interactions and feature usage
– Device type, operating system, and app version
– Approximate location information (derived from IP address, such as country or region)
– Event timestamps and performance-related metrics
– This data is used to understand how the App is used, improve functionality and user experience, and measure app installation and usage originating from advertising campaigns (including Google Ads) using Apple’s privacy-preserving attribution framework (SKAdNetwork).
– Firebase Analytics does not collect users’ names, email addresses, precise location data, or the content users process within the App.
– We do not use cookies or similar technologies within the App, and we do not display a consent banner. Analytics data is collected on the basis of legitimate interests, using Apple’s privacy-preserving measurement framework.
IP Address and Location Data –
We collect and process users’ IP addresses and approximate location data derived from IP addresses (such as city, partial postcode area, region, and country).
This information is obtained automatically when you use the App and is processed using third-party IP geolocation services. The location data provided is approximate and may not always be accurate. We do not collect precise GPS location data.
Performance and Diagnostic Data (via Sentry.io) – to ensure stability and performance, we use Sentry.io, a third-party monitoring and error-tracking service. When an error or crash occurs, Sentry may collect technical data such as:
Device model and operating system version;
App version, performance metrics, and diagnostic logs;
Limited contextual information about the issue (e.g., which screen or function was active).
This data is used only for identifying and fixing bugs and improving app reliability. It does not include your personal content or any AI data you process through the Services.
Payment Data –
If you purchase subscriptions via the Apple App Store or Google Play Store, payment data is processed through those platforms.
If you purchase services directly from us (e.g. via our website or Stripe checkout), payments are processed securely by Stripe. We do not collect or store your full payment card details. Stripe’s own privacy policy applies in such cases.
Customer Support Data – when you contact us, we may collect your name, email, and details of your query.
2. How We Use Your Data
We process your personal data for the following purposes:
To provide and maintain the App and Services.
To create and manage your account.
To process subscriptions and payments.
To monitor, secure, and improve the performance of the App (including via Sentry.io).
To provide customer support and respond to enquiries.
To comply with legal obligations.
To support platform administration, moderation, security monitoring, fraud prevention, and abuse detection, including enabling authorised administrators to view IP address and approximate location information associated with user activity.
To analyse app usage trends, measure app performance, and attribute app installations resulting from advertising campaigns (including Google Ads), using aggregated and privacy-preserving analytics.
To analyse AI interactions, understand user needs, and improve AI features, fine-tuning workflows, and overall user experience.
3. Legal Basis for Processing
We rely on the following legal bases under UK GDPR:
Contract – to provide you with the App and Services you request.
Legitimate Interests – to understand how the App is used, improve functionality, reliability, and user experience, including analysing interactions with AI-powered features and fine-tuning workflows; to monitor and improve AI performance; and to understand user needs and product requirements.
We also process personal data to maintain the security and integrity of the App, prevent fraud and misuse, investigate suspicious or abusive behaviour, enforce our Terms of Use, and enable appropriate administrative oversight of platform activity.
We rely on privacy-preserving analytics technologies to analyse aggregated app usage and installation data (including attribution of app installs from advertising campaigns), and we limit access to AI interaction data to authorised personnel only.
We have assessed that these legitimate interests are not overridden by users’ rights and freedoms, as the processing is limited to what is necessary for these purposes, is proportionate, subject to appropriate safeguards and access controls, aligned with users’ reasonable expectations when using an AI fine-tuning application, and does not involve tracking users across apps or services or using data for advertising or unrelated purposes.
Legal Obligation – where required by law or regulation.
4. Data Sharing and Transfers
We may share your personal data with:
Service Providers – such as hosting, analytics, monitoring, and IT support providers.
We use OpenAI, a third-party AI service provider, to power AI functionality within the App. OpenAI processes AI Inputs and outputs on our behalf as a data processor, in accordance with our instructions and applicable data protection laws.
OpenAI may process data outside the UK, including in the United States. Where applicable, appropriate safeguards such as Standard Contractual Clauses are in place.
This includes Sentry.io, which provides error monitoring and diagnostic services. Sentry processes technical and device data on our behalf solely for performance analysis and stability improvements. You can read their privacy policy at https://sentry.io/privacy/.
Payment Processors – including the Apple App Store, Google Play Store, and Stripe. We do not store full payment card details.
Legal and Regulatory Authorities – where required by law.
Analytics Providers – We use Firebase Analytics, provided by Google, to collect aggregated app usage and performance data and to measure app installations resulting from advertising campaigns. Firebase processes this data on our behalf and does not use it for its own independent purposes.
IP Geolocation Services – We use third-party IP geolocation services provided by MaxMind to derive approximate location information from IP addresses. MaxMind processes IP address data on our behalf solely for the purpose of providing geolocation lookups and does not use this data for its own independent purposes. MaxMind’s services may involve processing data outside the UK, including in the United States. Where applicable, we ensure appropriate safeguards are in place, such as Standard Contractual Clauses, to protect personal data. Your personal data may be transferred outside the UK (e.g., to the United States, where Sentry’s servers are located).
Where this happens, we ensure that appropriate safeguards (such as Standard Contractual Clauses) are in place to protect your data.
5. Data Retention
We retain personal data only for as long as is necessary to provide the Services, fulfil the purposes set out in this Privacy Policy, and to meet our legal, accounting, and regulatory obligations.
In practice, this means:
Account data – kept while your account remains active and for a reasonable period afterwards if needed for legitimate business or legal purposes.
Payment records – retained as long as required to comply with tax, accounting, and financial regulations.
Customer support records – retained for as long as necessary to resolve your query and for business or legal purposes.
Usage and analytics data (including Sentry logs) – retained only as long as necessary to analyse and improve performance.
When data is no longer required, we securely delete or anonymise it.
6. Your Rights
Under UK GDPR, you have the right to:
Access your personal data.
Request correction of inaccurate data.
Request deletion of your data.
Object to processing based on legitimate interests.
Restrict processing in certain circumstances.
Request transfer of your data to another provider (data portability).
Users should be aware that authorised administrators of the App may view IP address and approximate location information in connection with user accounts and activity, solely for administrative, security, and moderation purposes.
Where you use AI-powered features, authorised administrators may access AI interaction data (including prompts, training inputs, and generated outputs) for purposes including service operation, monitoring, debugging, security, abuse prevention, legal compliance, and to understand how the App is used and to improve AI functionality, fine-tuning workflows, and user experience.
Access to AI interaction data is limited to authorised personnel and used only for these purposes.
Where analytics processing is based on legitimate interests, you have the right to object. You may also limit analytics collection through your device-level privacy settings (such as iOS analytics and ad measurement settings). Please note that some aggregated analytics data may still be processed as part of Apple’s SKAdNetwork attribution framework.
Withdraw consent at any time (where processing is based on consent).

7. Security
We use appropriate technical and organisational measures to protect personal data from unauthorised access, loss, or misuse. However, no system is completely secure, and we cannot guarantee absolute security.
We take steps to minimise the amount of personal data processed and displayed, including limiting location data to approximate information rather than precise location.
8. Age Limit
The App is intended for use by individuals aged 18 years and older. We do not knowingly collect data from anyone under 18. If we learn that we have collected data from a person under 18, we will delete it.
9. Changes to this Policy
We may update this Privacy Policy from time to time. Changes will be posted within the App and updated with a new “Last Updated” date. Continued use of the App after changes are posted constitutes acceptance of the revised Policy.
